PatientLocate is used only for studies specifically approved by an institutional IRB or Privacy Board. Access is provided only to the specific individuals authorized by the IRB or Privacy Board for each study and only for the duration of the study.

To have PatientLocate identify patients for a study, a Patient Precision data analyst works with the study team to specify the specific clinical criteria that will be used to identify candidates for the study. The criteria are specified in terms of constraints on numeric, coded, or free-text elements of clinical data.

Patient Precision provides analytics that estimate the specificity and selectivity of proposed identification criteria, which can be fine-tuned for each study and site.

As each PatientLocate server updates the profiles of the patients at its facility, they are continuously matched against the patient identification criteria for the study. When a matching patient profile is found – for example, as the results of lab tests become available – IRB-approved staff members can be immediately notified of the existence of a new candidate for the study. Notifications can be delivered to either desktop or mobile devices, suppressing PHI (protected health information) if the communication channel is not secure.

All individuals approved by the IRB have access to PatientLocate‘s workflow-enabled applications to collaboratively manage the enrollment of each patient. PatientLocate applications allow each authorized individual to view aggregated, de-identified or identified patient data, based on individual, study-specific privileges.

To enable Patient Precision to access patient medical data, we become a HIPAA Business Associate of healthcare provider organizations where PatientLocate is deployed. This guarantees compliance with the organization’s privacy practices in handling sensitive patient data. PatientLocate methodology is HIPAA-compliant, because until the patient gives consent to be contacted for research, protected patient information is available only to the healthcare provider’s authorized personnel.

PatientLocate enhances patient privacy because only those patients that are identified by PatientLocate will ever have their personal health information reviewed by research staff.

Unlike a recruitment company, we do not sell manpower or media, and we do not affect the doctor/patient relationship. Researchers fully own the recruitment process, with no outside entities involved.
